Every virtual assistant should have a welcome packet to welcome their new clients. What you include in yours will vary, depending on the services you offer, but let’s discuss some of the basics.

Welcome letter
A welcome letter or handwritten note is a great way to introduce yourself and your business, and to thank your new client for their business.
List of Services
Including a list of the services you offer may help get you more business from a client. Say they hire you for social media, but after looking through your welcome packet, they see they can use you for project management or graphic design as well. Or maybe they know someone who is looking for your email marketing expertise, so they recommend you to a friend.
Policies/Procedures
It’s always a good idea to include your policies and procedures. This can help set boundaries with your client and makes sure that they understand how you work and what to expect from you.
Include things like your contact information, hours of operation, billing methods and forms of payment accepted.
Pricing Outline
Include an outline of your rates, packages, and fee structure. Be sure to outline your charges for extras like, shipping, postage, printing, rush jobs, etc.
Client Questionnaire/Intake Form
You should gather much information as you can before you start working together. Find out about their product or services, company mission statement, and any information that will help you tackle the job – think login info, company brand, target audience, etc.
This can be a digital or physical form you have your new client complete or something you complete during a discovery call or consultation.
Contract
A contract is a must. Never perform work for a client without one. Having a contract in place can protect you and your client in case anything goes south. You can likely find templates online, but I always recommend speaking to an attorney. They can review your existing contract or draft a brand new one for you.
Minimally, you should have some sort of written agreement, signed by you and your client. Be sure to include the scope of the work, time frame, agreed upon rates or price, and how and when you will be paid.
Marketing Materials
Include a few business cards and brochures in your welcome packet. If you’re client is happy with your work, they’re likely to refer you to friends and colleagues.
